Privacy Policy.

Your trust matters to us. This policy explains how HexAI Labs handles information when you enquire, join a programme or use our website and learner portal.

Enrollment and contact requests

We collect the name, email address, phone number, selected course, and messages you provide so our admissions team can respond, schedule appointments, and manage enrollment.

Student accounts

Your account lets you view your application status, batch details and fellowship requests. We store account details, sign-in records and password hashes where password sign-in is used. Session cookies keep you signed in. Internal admissions notes are available to authorised staff, not other learners.

Fellowship and withdrawal requests

We store the information you choose to share in a fellowship request, the review decision and any approved fee. Authorised staff review these requests. We also record requests to leave a programme so the team can follow up. Please do not submit bank details, identity documents or sensitive records in free-text forms.

Programme guide and security

Management may request relevant supporting evidence for a fellowship review and explain how to share it privately. Share only what is necessary and ask the team before sending documents.

Your answers in the programme finder are used on the page to show guidance; they are not submitted as an application or stored by that feature. Enrollment protection uses temporary, hashed rate-limit identifiers derived from your email address and network address to help prevent abuse.

Service providers

If you allow analytics, we use Google Analytics through Google Tag Manager on public website pages to understand visits and successful enquiry submissions. Google may process cookie identifiers and technical device and network information. We do not intentionally send names, email addresses, phone numbers or message contents in our enquiry analytics events. Analytics is not loaded on sign-in, admin or learner portal pages. Optional analytics stays off until you allow it; you can change your choice using Cookie settings on public pages. Declining does not affect your access to our programmes. Withdrawing permission stops future tracking but does not automatically erase information already processed by Google.

Information is stored in our application database. Email providers process the messages needed for sign-in and admissions updates. This enrollment request does not authorize marketing subscriptions.

Our cloud hosting and database services process information needed to run the platform. Gmail processes transactional emails, and Razorpay processes online payments under their applicable privacy policies. Processing locations depend on provider infrastructure. Hosting services may also process technical logs needed to operate and secure the website.

Payments and invoices

We retain payment amounts, modes, transaction references, dues, discounts and invoice records to reconcile payments and manage your membership. Our application does not collect or store your card number, CVV or banking password.

Protection and retention

We use access controls and technical safeguards, but no online service can guarantee absolute security. Keep passwords and email sign-in links private. Essential session cookies are needed for portal access; disabling them may prevent sign-in.

We do not sell or rent your personal information. Relevant information may be disclosed when required by law or necessary to address fraud, security incidents or disputes. We retain records as needed to provide services and meet applicable obligations. Payment and invoice records may need to be retained after an account closes; deletion requests do not automatically remove records required by law or for unresolved disputes.

You can also request access to your information or raise a concern about its use. We will verify your identity before acting on a request and explain any records we must retain.
